Hi there,

Thanks for registering your project for Coolest Projects International 2018. We are really excited to see you and your project on Saturday!

To help you prepare, we’re sending you some information for for the event day.
 

Arrival time

You should aim to arrive in the RDS Simmonscourt between 8.30am and 9.15am to get your T-shirt and lanyard and set up your project.
 

Early registration

Want to skip the registration queues on Saturday morning? We are hosting pre-registration on Friday 25 May from 3pm – 6pm in the Galleria area (across from the EPIC museum) of the CHQ Building at the Liffey riverside.

You and a parent/guardian, or just your parent/guardian, can collect your T-shirt and lanyard from us and register — then you can avoid the queue at Coolest Projects itself, and when you arrive at the RDS on Saturday, you just need to be there in time to set up your project for 9.30am.
 

Photo consent

When you’re registering, we will be giving out photo consent instructions for parents/guardians and young people over the age of 16 to read.

Young people under 16 whose parent/guardian has not given consent for photos/videos (or a young person over 16 who does not give consent for videos or photos) to be taken will need to get a yellow lanyard so that photographers can identify them. Please make your child aware if you do not give consent for their photo to be taken and so they know that they will not be included in prize-giving photos if they win an award at the event.

Due to the new GDPR legislation, we will only hold photos/videos that we take for a two-year period, 26 May 2020, unless we contact you directly to ask for your consent to extend this period.

We will be sending you the consent information by email over the next few days. To make your registration faster and save time on the morning of the event, you should read this in advance of the event.

Photos and videos will be taken in the main exhibition hall, but we will avoid/blur/impair the image of those young people who do not have parental consent (or their consent if over 16) for photos and video.

 

Once you arrive

Upon arriving at the RDS Simmonscourt. follow these steps:
  1. Go to the registration tent (see map here), fill out a photo consent form, and collect your lanyard and T-shirt.
  2. Head to the main hall and find your project bench.
  3. You will receive a sticker at registration — ensure you add this to your project bench.
  4. Set up your project desk with poster — (measurement of poster here).
  5. Check your judging time and whether you are presenting on the innovator stage on your lanyard.
  6. Talk to the amazing people beside you who are also displaying projects!
  7. Have fun :)
 

WiFi

Similar to previous years, we advise you to back up your project and to bring photos/videos to demo it if the WiFi is unreliable. Coolest Projects is primarily about your idea, so it is useful to have a video of your project you can show just in case your project stops working on the day!

Similar to previous years and due to the size of the event, we can only support 5 Ghz WiFi spectrum. This will not impact most people, as most modern laptops like Microsoft Surface or Apple will support 5 Ghz WiFi. Additionally, most projects run without the need for WiFi. Please see more information on what this means and who it is likely to impact here.
 

Judging

You will be judged within the time slot stated on your lanyard. There are lots of Ninjas presenting projects, so please be patient if the judges are running slightly behind.

If you aren’t at your bench for a few minutes to take a bathroom break, don’t worry — the judges and judging helpers will be double- and triple-checking that all projects are judged. To help them with that, add your check-in sticker on the desk sheet to tell them you’ve arrived.

Outside of your time slot, you have free time throughout the day to talk to other Ninjas about their projects and take part in the activities. There will also be lots of people who are not judges that will want to talk to you about your project, both young people and adults.

Some projects may have to be judged twice for some of the special prizes and to ensure our judging is consistent. This will happen in the morning, when most judging is taking place, and between 1.30pm and 3pm. Judges will continue to circle to make sure they see all the projects they need, so do not worry about taking short breaks to see the rest of the exhibition outside your judging time.
 

Lunch

Food will be available for purchase at the food hall within the venue, and there will be a variety of food trucks to choose from.

We do recommend that attendees also bring along snacks and water, as it will be a full day and there will likely be queues to buy food at busy times. There will be a marquee on-site that will serve as a picnic area during the lunch period.

Nuts: to ensure the safety of those with severe allergies, we would appreciate participants refraining from bringing nuts to this event.
 

Innovator Stage

If you have been selected to present on the Innovator Stage, you will have a time slot given on your lanyard. You should go to the Innovator Stage at this time to check in with the stage manager, Karen, and wait just a few minutes before getting on stage to chat with presenters Maureen and Phil.
 

Public transport to RDS Simmonscourt (Hall 8) Dublin

The RDS is located at Merrion Road, Ballsbridge, Dublin 4. The area is well served by public transport and is about a 15 minute drive from Dublin city centre. Directions from the city centre, the airport, and local train stations can be found here.

Parking

€7 per day; parking is available through the Simmonscourt Road entrance gate.
